Job Description: Transaction Coordinator

Our real estate brokerage is a well-established and highly reputable company with offices throughout the Tri-State area. We are committed to providing exceptional service to our clients and maintaining a supportive and collaborative work environment for our agents. We are seeking a Transaction Coordinator to join our team at Christie’s International Real Estate. As the Transaction Coordinator, you will play a critical role in managing the daily activities of our office, ensuring office efficiency, productivity, and a positive work environment. You will work closely with our agents, providing them with the support they need to succeed.

Key Responsibilities:

Transaction Coordination

  • Assist the real estate agents with preparing all materials such as pre-listing presentations, seller’s disclosures, listing agreements, property’s comparative market analysis, buyer presentations, buyer disclosures.
  • Ensure all necessary documents are accurate, complete, reviewed and signed by relevant parties within specified timeframes.
  • Assist agents with listing preparation including Multiple Listing Service (MLS) input, photo/video uploads, setting up open houses, lockboxes, social media posts, and sign installs/uninstalls.
  • Update listing details on MLS as needed.
  • Ensure all documentation and data entry of client information is uploaded into the transaction system ensuring proper compliance with all legal and regulatory requirements.
  • Manage accounting procedures for agent payments including preparation of commission invoices, commission disbursements, scanning and depositing checks.
  • Continuously evaluate and identify processes to improve transaction processes to enhance efficiency, accuracy, legal compliance, and quality.
  • Prepare management reports as needed.

General Office

· Coordinate and manage various administrative tasks to support the smooth running of the office including ordering supplies, general office organization.

  • Maintain relevant office communications and information to ensure agents are aware of proper transaction related procedures.

· Assist with office meetings and events.

· Maintain office store front window displays.

  • Suggest ideas and assist leadership in ensuring a strong company culture.
  • Provide exceptional support to the agents, assisting with administrative tasks, providing resources and guidance to meet their needs and expectations.
  • Provide help and support to colleagues as needed, contributing to a positive and cohesive team environment.

Requirements:

  • Exceptional organizational and time management skills. Ability to work under pressure, prioritize tasks, and meet deadlines.
  • Strong attention to detail and a commitment to accuracy and compliance
  • Excellent written communication and interpersonal skills
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • A proactive and self-motivated attitude, with the ability to work independently and collaboratively. Resourceful.
  • Exceptional customer service skills with a servient leadership approach.
  • Analytical mindset with the ability to analyze information, identify problems and trends, and offer solutions.
  • Technologically oriented.
  • Knowledge of social media platforms, trends, and best practices.
